Explain the access controls
If entry depends on a manager, gate or defined hours, include that information when requesting equipment. Identify a contact who can approve the restroom position and resolve questions during a visit. Confirm any venue or activity permissions separately; a quote request does not authorise occupation of the space.
Describe the peak use and the supporting facilities
Explain when the largest group will need restrooms, which permanent bathrooms remain available and whether users are spread across different areas. Discuss washing, accessible entry and service alongside quantity. Coordinate delivery with other suppliers and agree how the equipment remains reachable after the activity ends.
What if a manager must be present for every supplier visit?
Include that restriction when discussing delivery, service and removal. Identify an authorised alternate if the manager will be away and agree how arrival questions are handled. Keep sensitive access instructions off public forms or shared webpages. Ask the provider to confirm an appropriate arrangement rather than assuming every requested window is available.
