Include the staff outside public hours
An event audience or main crew may be only part of the use. List vendors, setup workers or later shifts that also need facilities. Explain which permanent bathrooms those groups can use. Discuss peak demand, washing and accessible entry with the full timetable rather than a single attendance figure.
Give service a workable appointment context
Identify the approved entrance, gate contact and any relevant supplier hours. Keep the approach open after the site fills with vehicles or furniture. Confirm permission for placement with the operator and review supplies, visits and collection in the proposal. Notify the rental team when the timetable or layout changes.
Do vendors and cleanup staff belong in the use estimate?
Include them when they need the same facilities, especially if permanent bathrooms close outside public hours. Explain their working periods separately from audience attendance. This helps the rental discussion address supplies and service through the full timetable rather than considering only the main programme.
