Consider the busiest movement, not just attendance
Programme breaks and food queues can create a peak at facilities within a limited event footprint. Explain where visitors gather and how they move between activities. Include vendors and volunteers, and identify which existing bathrooms are genuinely available throughout the programme.
Give servicing a route and a window
Discuss cleaning and replenishment for longer or repeated sessions. Coordinate vehicle access with the person managing public movement and keep the approved approach clear. Review the arrangement if the programme grows; adding hours or another activity area can change support needs even without a large increase in attendance.
Describe use between programme breaks
Tell the rental contact whether people stay for the whole event or arrive in shorter waves. Include the busiest breaks and the staff who remain before and after public hours. Review washing and service against that pattern. Update the discussion when an additional session or activity changes how people use the same limited area.
