Make restricted access part of the request
Give the rental contact the usable entrance, relevant hours and a person who can resolve gate or parking issues. Explain when the property is busiest so the proposed service plan can be discussed realistically. A street address does not capture the logistics of a compact worksite.
Plan the last visit before closing the gate
When work nears completion, confirm the last required use and the collection process. Keep the equipment accessible during cleanup and demobilisation. Review supplies and service during the rental, and record any accepted changes rather than relying on an old start-date request to cover the whole job.
Give the service contact useful access information
Explain which person controls the entrance during the proposed visit and what happens if that person is away. Include relevant supplier hours when discussing the schedule. If access becomes unavailable, report the change promptly and ask for the next agreed step; do not assume an attempted visit automatically becomes a new appointment or collection date.

- Applicable access hours
- Confirmed response to an access change
